Southwest Flight Delayed 3 Hours: What You Are Owed

A Southwest flight delayed 3+ hours at arrival triggers DOT 2024 cash refund rights. Southwest's improved post-meltdown customer service plan adds automatic meal and hotel vouchers for controllable delays. Here is the 2026 compensation picture.

The 3-Hour Threshold Triggers

Southwest flight delayed 3 hours compensation starts with the DOT 2024 rule. Arrival delay of 3+ hours at final destination domestic (or 6+ hours international) entitles you to:

  • Cash refund to original payment method under 14 CFR 259.5.

  • Rebooking at no charge if you prefer to continue.

  • Duty of care (meals, hotel) for controllable delays (crew, mechanical, scheduling).

  • Discretionary amenities for weather or ATC delays per Southwest's customer service plan.

Southwest measures arrival delay at final gate arrival. A flight that lands 3h 15m after scheduled but taxis to gate in 15 minutes counts as 3 hours. A flight that lands 2h 50m late and taxis long to gate for 20 minutes may or may not count, depending on interpretation.

Southwest Post-Meltdown Duty of Care

After the 2022 meltdown, Southwest enhanced its customer service plan. For controllable delays:

  • Meal voucher at 3 hours delay: typically $15 to $25.

  • Hotel voucher for overnight delay: typically $150 to $250 per passenger.

  • Ground transport: included with hotel voucher.

  • Auto-rebooking communication: via text or app.

Controllable means crew, mechanical, or scheduling issues. Weather, ATC, and airport issues are not controllable and duty of care is discretionary rather than required.

Cash vs LUV Voucher Math

Southwest often offers LUV Voucher compensation for delays above and beyond the DOT refund. A typical post-delay offer:

  • $500 LUV Voucher + full DOT cash refund: reasonable if you have Southwest travel plans within 12 months.

  • $500 LUV Voucher with no cash refund for a cancelled flight: refuse. The DOT rule requires cash refund; accept the voucher as bonus but insist on cash too.

  • Cash-only at DOT refund amount: take it. Southwest's additional LUV Vouchers for delays above and beyond the DOT refund are discretionary bonuses.
