How to Get a Refund from American Airlines

American Airlines has a dedicated refund form at aa.com/refunds, but the process has hidden steps most passengers miss. Here is a complete guide to getting your full cash refund.

When American Airlines Owes You a Refund

Under US DOT rules, American Airlines must issue a full cash refund to your original payment method when your flight is canceled for any reason, when your flight is significantly delayed (3 or more hours domestic, 6 or more hours international) and you choose not to travel, or when American makes a significant change to your itinerary such as adding a connection to a nonstop booking.

These rules apply to all fare types including American's non-refundable Basic Economy tickets. The restriction on Basic Economy is about voluntary changes, not about airline-initiated cancellations and significant delays. If American cancels your flight, you are owed the full fare regardless of ticket type.

Step-by-Step: Requesting Your Refund at aa.com/refunds

American processes refunds through a dedicated form at aa.com/refunds. This path is separate from their customer service complaint form. Using the right form significantly speeds up processing.

    Enter your 13-digit ticket number (starts with 001) or your 6-character record locator. The ticket number is on your booking confirmation email.

    Enter the passenger's name exactly as it appears on the ticket.

    Select the reason: Cancelled flight or Significant delay.

    Confirm your original payment method and submit. American is required to refund to the original payment source.

If American offers you AAdvantage miles or a travel credit at the gate: decline in writing before accepting. Once you accept a voucher, your cash refund right is harder to reclaim. Expense Reimbursement for Delays and Cancellations

Expense reimbursement (meals, hotel, transport) is a separate claim from your refund and uses a different form. For controllable delays and cancellations — mechanical issues, crew problems, operational decisions — American's Customer Commitment covers meal vouchers for delays of 3 or more hours and hotel plus ground transport for overnight controllable delays.

Frame your submission as a formal complaint requesting reimbursement, itemize each expense, and attach receipts as PDFs.

Weather delays do not qualify for expense reimbursement under American's Customer Commitment. However, they do qualify for a full refund if you choose not to travel. The distinction matters.

American Airlines Specific Quirks

American AAdvantage miles tickets follow the same refund rules. If American cancels your award flight, the miles must be restored to your AAdvantage account and any fees or taxes paid in cash must be refunded.

  • AAdvantage miles refunded: If you paid miles and fees, both must be restored on cancellation.

  • Old URL deprecated: The old aa.com/receipts-and-refunds path no longer works. Use aa.com/refunds only.

  • Seven business days: American is required by DOT to process credit card refunds within 7 business days. If yours takes longer, that is a separate violation worth noting in a DOT complaint.

  • Seat fees and upgrades: Request these explicitly in your refund submission. They are separately charged and not always included automatically.

If American Denies Your Refund

A first denial from American is not the end. File a complaint with the DOT's Aviation Consumer Protection Division. American is required to respond to all DOT complaints, and a formal complaint frequently produces refunds that were denied through normal channels.

Include your flight number, date, original amount paid, American's denial response, and your reference number from the refund form. DOT complaints are free and airlines take them seriously.
